Overall Beauty Virtual Assistant (Aesthetic Clinic Operations & Marketing) – Part-Time
We are seeking a proactive, self-driven, and responsible Virtual Assistant to support the daily operations of our aesthetic clinic. This role is essential in managing appointments, client communication, and marketing support while ensuring a high level of professionalism and client care.
Responsibilities
- Able to sell packages and services (Laser hair removal, facials, tattoo brows etc)
- Able to upsell and recommending treatments and products
- Book, confirm, rebook, and reschedule client appointments using Vagaro or similar booking systems
- Call clients and be able to build rapport to make a sale
- Coordinate schedules for multiple providers and treatment rooms
- Reach out to clients for confirmations, reminders, follow-ups, feedback, and promotions
- Respond promptly and professionally to client inquiries via phone, email, chat, or messaging apps
- Handle difficult or sensitive client situations calmly, respectfully, and professionally
- Manage deposits, cancellations, no-shows, and rescheduling requests
- Maintain accurate client records and appointment notes
- Monitor weekly clinic performance and update spreadsheets or reports
- Create manual invoices through spreadsheet or excel
- Assist with administrative and operational tasks as needed
- Support marketing strategies, promotions, and campaigns
- Create captions, posts, reels, and basic graphics for Instagram, Facebook, and TikTok if needed.
Qualifications
3+ years of proven experience as a Sales Virtual Assistant, in Medical/Aesthetic Receptionist, Scheduler, or similar role
Must be an effective salesperson
Experience in an aesthetic clinic, medical spa, wellness clinic, or service-based business preferred
Strong communication, customer service, and problem-solving skills
Ability to handle client concerns, objections, and high-volume scheduling with professionalism
Familiarity with booking systems or CRMs (Vagaro, etc.)
Can do moderate Math
Tech-savvy and comfortable using remote tools (email, Zoom, WhatsApp, messaging apps)
Highly organized, detail-oriented, and able to multitask
Calm, friendly, and professional demeanor, even under pressure
Basic video editing and graphic design skills
Fluent in English and Portuguese
Comfortable with sales conversations in English
Willing to learn and improve sales skills
Willing to be trained, coached, and open to feedback
Available part-time, Monday to Saturday (schedule 10am-12pm and 5pm -7pm EST)
Pay will be in R$
