Position Overview

We are looking for a highly capable bilingual Chief of Staff (English & Spanish) to work closely with either the CEO or the COO of Confidencial (Apenas para Cadastrados) to support company priorities, strategy execution, and operational alignment. This role reports directly to your assigned executive and focuses on supporting that executive’s priorities only.

This is not a purely administrative role; it requires turning plans into action, tracking progress, and serving as a strategic partner to help manage KPIs and ensure decisions are executed across teams.

Note: This is an internal role supporting Confidencial (Apenas para Cadastrados)’s leadership and operations.

Core Responsibilities

Strategic & Executive Support

  • Work directly with your assigned executive to plan and execute key priorities.
  • Translate executive strategy into actionable plans and timelines.
  • Track goals, KPIs, and initiatives for the executive’s office.
  • Prepare executive reports, decision summaries, and status updates.
  • Support leadership meetings with structured agendas and follow-ups.
  • Manage executive calendars and update CRM systems with relevant follow-ups.

Project & Initiative Management

  • Lead and coordinate cross-functional projects assigned by your executive.
  • Monitor progress, risks, and blockers across various initiatives.
  • Ensure action items are completed on time and build simple tracking systems.
  • Provide regular status updates to your executive.

Operations, Governance & Communication

  • Align teams on priorities and deadlines set by your assigned executive.
  • Improve internal workflows and processes.
  • Document decisions and next steps from executive meetings.
  • Handle sensitive information with discretion and ensure clear communication across departments.

Candidate Qualifications

Required Qualifications

Must-Haves

  • 3+ years supporting senior leadership in operations, strategy, or consulting roles—remotely and in fast-paced environments
  • 3+ years managing cross-functional projects and team initiatives
  • Strong KPI tracking and reporting experience
  • Advanced proficiency in CRMs and scheduling/reporting tools
  • Full professional fluency in both English and Spanish—written and spoken

Good to Haves

  • Background in corporate strategy, business operations, or executive consulting
  • Experience working directly with C-suite executives in a remote-first organization
