We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the President of our fast-paced marketing agency. This role is mission-critical to executive efficiency, cross-departmental coordination, and operational flow.
The Executive Assistant will act as a strategic partner not just managing calendars and communications, but anticipating needs, protecting executive focus time, coordinating high-level initiatives, and ensuring priorities move forward without friction.
This is a high-trust position requiring discretion, strong business judgment, and exceptional communication skills.
Key Responsibilities
Executive & Strategic Support
- Manage complex calendars, scheduling, and priority alignment
- Coordinate internal and external meetings, including agenda preparation and follow-ups
- Prepare briefing documents, reports, and presentation materials
- Track strategic initiatives and ensure accountability across departments
- Anticipate executive needs and proactively solve problems
Communication Management
- Manage email inbox and draft high-level correspondence
- Serve as a liaison between the President and internal team members, clients, and partners
- Screen and prioritize inbound communication
- Ensure timely responses and follow-through
Operations & Project Coordination
- Support leadership meetings (agenda creation, note-taking, action tracking)
- Assist with internal systems, SOP documentation, and workflow optimization
- Coordinate travel arrangements and executive logistics
- Support contract processing and document management
- Help manage special projects and cross-functional initiatives
Confidential & Sensitive Matters
- Handle confidential company and personnel information with discretion
- Support executive-level HR coordination when required
- Maintain professionalism and confidentiality at all times
Qualifications
- 2+ years experience supporting senior leadership or C-suite executives
- Experience in marketing, agency, or fast-paced entrepreneurial environments preferred
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- Proficiency in Google Workspace, Slack, project management tools (ClickUp, Asana, or similar), and CRM systems
- Ability to prioritize effectively under pressure
- High emotional intelligence and sound business judgment
