We are looking for a Lead Project Administrator to join our organization.

In this position, you will play a key role in supporting the financial and administrative management of diverse projects within a fast-paced setting. You will work closely with cross-functional teams to maintain operational efficiency and ensure compliance. The successful candidate will demonstrate initiative, attention to detail, and a commitment to driving project excellence.

Responsibilities

  • Manage the end-to-end financial workflow, including budget monitoring, invoice administration, and payment processing for various projects
  • Analyze and communicate monthly budget discrepancies, keeping budget trackers current for all open purchase orders and financial commitments
  • Oversee the integration of new suppliers and handle contract administration with third-party vendors, collaborating with senior leadership and legal teams
  • Develop and maintain manuals, process guidelines, and interactive dashboards (for example, using Google AppSheets) to streamline procurement and enhance project transparency
  • Act as the primary liaison among managers, finance departments, and suppliers to ensure policy compliance and timely execution of administrative responsibilities

Requirements

  • At least 5 years of experience in procurement, project administration, or financial operations
  • Minimum one year of experience leading and managing project or development teams
  • Proven expertise in budget management, monthly forecasting, and handling complex financial processes such as invoices and purchase orders
  • Strong experience in supplier onboarding, contract management, and direct coordination with legal teams to uphold regulatory and policy standards
  • Proficiency in handling large datasets and building interactive dashboards to track project milestones and timelines
  • Advanced skills in Google Sheets for data management, along with experience using Docs, Slides, and Gmail for business communication
  • Excellent verbal and written communication skills, with confidence in interacting with internal and external stakeholders including program managers, suppliers, and legal representatives
  • Superior organizational and interpersonal skills, with the ability to proactively implement new initiatives in a rapidly evolving environment
  • English language proficiency at C2 level, both written and spoken
