Job Summary
We are seeking a highly organized and detail-oriented Reservationist / Dispatcher to join our operations team. This individual will be responsible for managing reservations, coordinating chauffeurs and affiliates, and ensuring a smooth and elevated client experience from booking to trip completion. The ideal candidate is professional, proactive, and able to multitask in a fast-paced environment.
Key Responsibilities
- Handle incoming calls, emails, and online reservation requests with a professional and courteous approach.
- Create, modify, and confirm bookings in our reservation system accurately and in real time.
- Assign and dispatch trips to chauffeurs based on location, vehicle type, schedule, and service level requirements.
- Coordinate with affiliate partners nationwide and internationally to secure services when needed.
- Provide clients with timely updates regarding vehicle status, chauffeur details, or changes to reservations.
- Monitor live trips to ensure timely pick-ups and drop-offs, addressing any issues as they arise.
- Maintain clear communication with chauffeurs regarding routes, flight tracking, wait times, and client preferences.
- Ensure all reservation and trip notes are logged clearly and accurately for operational continuity.
- Support quality control by reviewing ride details before and after each trip to ensure service standards are met.
- Assist with daily reporting, schedule updates, and operational follow-through.
Skills & Qualifications
- Strong verbal and written communication skills.
- Excellent phone etiquette and customer service presence.
- Ability to multitask, prioritize, and remain calm under pressure.
- High accuracy in data entry and documentation.
- Familiarity with dispatching or scheduling roles (hospitality, transportation, or service industry preferred).
- Proficiency with computer systems and ability to learn new platforms quickly.
- Experience in luxury transportation, black car service, call centers, or travel coordination is a plus.
- Familiarity with flight tracking, mapping tools (GPS / Waze / Google Maps), and/or livery reservation software is beneficial.
- Knowing LimoAnywhere will be considere a differential.
