Our unique vending machines are strategically placed in bars, clubs, and late-night venues, offering a range of nightlife essentials and fun surprise products. We're on a mission to enhance the nightlife experience and are rapidly expanding nationwide through our franchise model.

Job Overview:

We’re seeking a sharp, proactive, and detail-driven Financial Controller to lead the financial operations that power our national growth. This role will manage core accounting functions, oversee franchisee financial inflows (royalties, tech fees, marketing fund, rental agreements), run our franchisee machine rental program with Nayax, and support commissions and forecasting. The ideal candidate is both a systems-thinker and executor—capable of building infrastructure while getting into the weeds.

Key Responsibilities:

Financial Modeling and Planning:

• Develop and maintain the financial model for Confidencial (Apenas para Cadastrados), incorporating scenarios for growth, new revenue streams, and cost management.
• Own the quarterly financial forecasting process and provide insights into P&L, cash flow projections, and unit economics.

Vending Machine Rental Program Management:

• Oversee the billing, reconciliation, and reporting for our vending machine rental program, including relationships with third-party vendors like Nayax Capital.
• Monitor and manage the rental payments, terms, and conditions to ensure smooth operations.

Accounts Receivable Management:

• Lead efforts to track and collect franchisee payments for monthly rent, weekly royalties, technology fees, and brand marketing fund contributions.
• Ensure payments are accurately deposited into the proper checking accounts and timely collection of overdue amounts.
• Generate invoices for vending machine sales that include monthly software licensing with options to purchase upfront at a lower cost or billed monthly.
• Must have knowledge of setting up recurring billing in Quickbooks, with auto notification to customers.

Franchisee Financial Oversight:

• Prepare and remit monthly commissions to franchisees and ensure payouts align with performance.
• Create and run the franchisee bookkeeping strategy, determining whether to manage it in-house or provide access to their QuickBooks Online accounts.
• Support franchisee accounting needs, including guidance on QuickBooks Online plans and best practices for financial reporting.

Process & Systems Improvement:

• Develop and implement internal systems and processes to optimize financial tracking and reporting.
• Lead the automation of accounting processes using tools such as Zapier and QuickBooks Online auto-categorization to streamline workflows.

AI and Technology Utilization:

• Leverage AI tools, such as Google Gemini, to enhance financial modeling, reporting, and formula creation.
• Integrate innovative technologies into daily accounting operations for improved efficiency.

Bookkeeping & Financial Statements:

• Oversee the bookkeeping function, ensuring accurate financial records are maintained.
• Prepare and analyze monthly financial statements, ensuring compliance with GAAP and internal controls.
• Liaise with our tax accountant for all tax-related matters.

Sales Tax Remittance:

• Manage sales tax remittance, ensuring timely and accurate filings.

Inventory Forecasting & Management:

• Create and maintain forecasting models for machine parts, vending machine inventory (including items stored in our DFW warehouse), and other inventory needs.
• Develop an inventory plan that includes tracking products in production, in transit, and on hand in the warehouse.

Lender Relations & Equipment Financing:

• Manage relationships with lenders for equipment financing needs and ensure that financing arrangements meet Confidencial (Apenas para Cadastrados)'s strategic goals.

Chart of Accounts & Standardized Reporting:

• Design and implement a standardized chart of accounts and monthly financial statement reporting formats.

Required Skills and Qualifications:

• 5+ years of accounting and financial management experience, preferably in a multi-unit or franchise environment.
• Proficient in financial modeling, forecasting, and advanced Excel or similar tools.
• Experience in managing AR/AP, bookkeeping, and financial reporting using QuickBooks Online
• Strong background in automating financial processes, with expertise in tools like Zapier and QuickBooks.
• Knowledge of sales tax remittance and franchisee financial management.
• Experience with vendor management and forecasting.
• Excellent communication skills and ability to collaborate with cross-functional teams.
• Ability to work independently and proactively in a fast-paced environment.
• Knowledge and experience in inventory and asset management.
• Must be knowledgeable on intra company transactions and managing multiple books within multiple entities.
• Must be fluent in English, written and spoken. Must feel comfortable and confident being fully present in video calls at all times.
• High Performance lap top computer with Intel Core i7 (12th Gen or newer) or Apple M3/M4 chip, 16GB minimum; 32GB highly recommended, 512GB or 1TB Solid State Drive (SSD), Dual 27-inch 4K Monitors or one 34-inch Ultrawide, Full-sized keyboard with dedicated numeric keypad, Windows 11 Pro (64-bit) or macOS Sequoia (latest versions), Latest version of Google Chrome (optimized for QuickBooks Online and Gemini)
• Must have strong and reliable internet connectivity, Stable high-speed connection (100+ Mbps recommended).
• Desired strong background and experience using Google Workspace and apps such as Gmail, G Drive, Google Chat, Google Docs, Google Sheets, Google slides. Google Meets.
• Knowledge and experience using AI tools such as Gemini, NotebookLM, and Gem creation. Strong prompt creation highly desired.
• Must be available to perform work service during operating US time zones.
