About the Role:
The Operations Coordinator plays a central role in supporting operational functions of the business including inventory management, tech support, customer service, order processing, procurement, vendor management and logistics to ensure smooth and efficient business operations, cost savings and service delivery to customers. This role supports both internal teams and external partners by coordinating purchase orders, maintaining accurate systems and documentation, and ensuring compliance with company policies.

Tech support

  • Manage and resolve technical support tickets for clients, including but not limited to technical problem solving, coordinating field services & checking parts availability, purchasing and delivery.

Order & Customer Coordination

  • Process and validate customer purchase orders, ensuring accuracy in pricing, data, and terms.
  • Co-ordinator sales orders daily.
  • Maintain CRM records, customer communications, and contract documentation.
  • Provide real-time updates to the sales team on stock, pricing, and order status.
  • Support wholesale and end user programs.
  • Support RMA (Return Merchandise Authorisation) requests and escalate as required.

Stock Supplies & Product Maintenance

  • Purchasing products & services through various channels & techniques (including proactive, replenishment & auction/bidding purchases) to best support the business needs to achieve consistent availability, cost savings & quality.
  • Analyse sales & inventory data to trigger purchasing activities through various.
  • Monitoring products to maintain & update inventory in internal systems & CRM (unleashed).
  • Setup new products in the internal system (unleashed).
  • Price analysis and updating of inventory prices in the inventory system.
  • Assist warehouse with receiving inventory.

Warehouse & Logistics

  • Coordinate with logistics suppliers, warehouse, and procurement teams for delivery timelines.
  • Create and issue purchase orders based on forecasts, system demand, or requests.
  • Follow up on shipping & delivery status and update customers on expected delivery dates.

Vendor & Supplier Management

  • Obtain purchase order approval in line with company delegation and policy.
  • Manage strategic supply partners and support any contract negotiations.
  • Coordinate onboarding of new customers & suppliers and conduct annual compliance reviews.
  • Maintain and update accurate customer & supplier master data within systems.
  • Resolve purchase order, quality, delivery, or invoice-related disputes with suppliers & customers.
  • Enter and maintain accurate product information and inventory data, (including systems, parts and bundles) according to company policy and inventory data rules.

Performance & Development

  • Contribute to process improvement initiatives to streamline all operational workflows and procedures.
  • Ensure compliance with company policies, procedures, and regulatory requirements.
  • Adherence to company policies and procedures in all team activities and in line with delegation.

Skills & Knowledge

  • 2–4 years’ experience in operations, supply chain, procurement, or logistics coordination.
  • Demonstrated experience in processing and validating purchase/sales orders with high accuracy.
  • Proven background in vendor management, including onboarding, compliance reviews, and dispute resolution.
  • Experience with Third-Party Maintenance (TPM) companies.
  • Hands-on experience with procurement systems, ERP platforms, or inventory management tools (e.g., Unleashed).
  • Experience working with CRM systems to maintain customer and contract records.
  • Familiarity with sales forecasting, replenishment planning, and stock control.
  • Strong skills in cross-departmental coordination (sales, warehouse, finance, logistics).
  • Prior experience supporting contract negotiations and sourcing activities desirable.
  • Intermediate to advanced Microsoft Excel/reporting skills (pivot tables, lookups, analysis, creating spreadsheets, using advanced formulas, and generating reports).
  • Excellent problem-solving skills and the ability to manage complex hardware issues effectively.
  • Strong communication skills, capable of providing clear and effective support to a diverse client base.
  • Ability to work independently and manage time effectively
