YOUR MISSION
The role of the Sales Assistant is to provide essential administrative and operational support to the Regional sales manager and sales team. This role typically acts as a bridge between customers and the sales team, ensuring smooth daily business processes.
YOUR RESPONSABILITIES
- Customer Interaction: Act as the first point of contact by answering phone calls and emails, addressing basic inquiries, and directing leads to the appropriate account manager.
- Data Management: Maintain and update customer records within CRM systems like Salesforce and other internal systems.
- Sales Documentation: Assist in researching products, creating sales presentations, and preparing regular sales performance reports, supporting smaller customers and export. Liaising with Plants and other departments. Assisting in budget creation, data input.
- Lead Support: Pre-screen potential sales leads and conduct basic market research to identify new business opportunities.
Core Skills & Qualifications - Communication: Exceptional verbal and written skills for professional correspondence with clients and internal staff. Have a can do positive attitude and enjoy working both individually and as part of a team.
- Organization: Ability to multitask and prioritize tasks in a fast-paced environment.
- Technical Proficiency: Mastery of Microsoft Office 365 (especially Excel and PowerPoint) and familiarity with CRM software.
- Customer Service: A helpful, proactive attitude aimed at ensuring high levels of customer satisfaction.
YOUR MAIN TASKS
CRM and BI files
- creation new customers and prospects in Salesforce
- creation and follow up contact details of prospects and customers in Salesforce
- registration of customers/prospects appointments in Salesforce for Regional Sales Manager and/or Area Sales Manager
- registration of visit reports in Salesforce for ATC
- input budget figures in Salesforce
- supporting the Sales team with SF extractions, data, liaising with IT to generate views.
- provide on demand sales/budget figures (customers, products, key accounts, etc…) for Regional Sales Manager and/or Area Sales Manager
- monthly report for Regional Sales Manager and/or Area Sales Manager
Other sales tasks
- daily contacts with Regional Sales Manager
- weekly contacts with Area Sales Manager
- contacts with prospects, coming from our website or other sources
- Back-up customers and particularly during holidays
- Daily follow up small customers
- support for actions related to key accounts
- Send out samples to prospects and customers or organize through Salesforce.
- Price quotations if > or = 50.000€, and follow-up with Regional Sales Manager and/or Area Sales Manager
- price list adaptations for some customers.
- support for pricing and margins files
- prepare, attend and follow up commercial meetings (business reviews, internal team meetings or others)
- send reminders for deadlines to Regional Sales Manager and/or Area Sales Manager
- support for customer tenders
- support for contract preparation and signature
- organize customer visits in UC plants
- attend customer meetings, occasionally
- provide documents from other departments to customers and prospects (quality, drawings, etc…)
- payment reminders to customers if asked by the plants
- Credit Safe Reports
Administrative tasks
- Flight and hotel bookings exceptionnaly
- Meeting organization internal and external (lunch, dinner, hotels, etc…)
Tasks for other departments ( exceptional )
- Budget figures Germany.
- Create prospects in Salesforce for other departments.
