The Accounts Receivable & Payable Analyst at Shape is responsible for managing invoicing, collections, and payment processes, ensuring accuracy, efficiency, and compliance across financial operations. This role plays a key part in maintaining healthy cash flow, improving processes, and supporting the company’s financial organization.

Responsibilities:

Invoicing & Approval:

  • Collect project measurement reports and cost approvals from clients and suppliers
  • Issue invoices accurately and on time, according to approved reports and contract terms
  • Ensure accounts receivable and payable activities comply with company policies and regulations
  • Maintain accurate and up-to-date documentation of transactions and communications

Reports Automation & Analysis:

  • Build and maintain aging reports to monitor outstanding receivables and key AR/AP metrics
  • Partner with the FP&A Analyst to forecast cash receipts and payments, identifying potential cash flow risks
  • Reconcile accounts receivable balances on a regular basis
  • Investigate and resolve discrepancies between internal records and client or supplier statements
  • Identify opportunities and implement improvements, including automation of AR and AP processes

Client Communication:

  • Act as the point of contact with clients’ accounts payable and suppliers’ accounts receivable teams
  • Follow up on outstanding invoices and ensure payments are aligned with contract terms
  • Negotiate payment delays in a professional and effective manner

Requirements:

  • Proactive, autonomous, and self-driven
  • Strong attention to detail and time management skills
  • Customer-centric mindset with strong problem-solving abilities
  • Effective negotiation and conflict resolution skills
  • Intermediate English proficiency (written and spoken)
  • Advanced Excel skills
  • Experience with accounts receivable, accounts payable, or collections processes
  • Familiarity with ERP systems (e.g., Xero, WK Radar) is a plus
  • Knowledge of Singaporean and Brazilian B2B tax structures is a plus
  • Bachelor’s degree in Accounting, Business Administration, or related fields
  • Experience with accounts receivable, accounts payable, or collections processes
  • Postgraduate or specialization degree is a plus
