Role: Sales & Pipeline Assistant (Part-Time, Remote)Overview
I’m looking for a Sales & Pipeline Assistant to help manage and execute the day-to-day operations of my sales system. This role is focused on organization, consistency, and follow-through—ensuring that leads are tracked, followed up with, and moved forward efficiently.
This is not a strategy role. It is an execution role, with the potential to grow over time.
Key Responsibilities
Lead Management (Daily)
- Add new leads to the tracking system (Notion or ClickUp)
- Update lead status (contacted, replied, call booked, proposal sent, closed/lost)
- Tag lead sources (Instagram, Behance, email, referral)
- Track key dates for reporting and analysis
Inbox and Lead Monitoring (Daily)
- Check email and Instagram inboxes
- Flag and prioritize important leads
- Respond using existing scripts or draft replies for approval
- Ensure no leads go unattended
Outreach Execution (Daily / Weekly)
- Send outreach messages via Instagram and Behance based on provided frameworks
- Personalize messages using basic research (brand observation, positioning insight)
- Upload and manage email outreach campaigns using Instantly
- Monitor responses and identify warm leads
Follow-Ups (Ongoing)
- Send follow-up messages to leads who have not responded
- Follow up after calls and after proposals are sent
- Keep conversations active and moving forward
Proposal and Closing Support
- Prepare proposal emails using templates
- Send contracts and payment links (or prepare them for review)
- Track leads who have not completed booking steps
Weekly Reporting Provide a simple weekly summary including:
- Number of leads contacted
- Number of replies
- Calls booked
- Proposals sent
- Deals closed
- Any relevant observations or patterns

- Instagram and Email
- Instantly (email outreach platform)
- Google Sheets (as needed)
Requirements
- Strong written English communication
- High attention to detail and organization
- Ability to follow systems and processes consistently
- Basic understanding of branding or creative businesses is a plus
- Ability to work independently and manage tasks without constant supervision
Compensation
- $7/hour
- Part-time (approximately 2–4 hours per day to start)
- Potential to grow into a larger role over time
